This fully integrated mass emailing system is available only to Enterprise customers. Create and send text or HTML emails to any desired group of users within your network, including affiliates, advertisers, and employees. For HTML emails you must include opening and closing HTML tags. All emails are queued and sent every 10 minutes.

Email Lists
Categorize the type of email list being sent to recipients by selecting Company News or Offer Updates. By default affiliates, advertisers and employees are automatically added to these lists. The users or employees with access, can update the user’s settings to opt out of receiving email from these lists.
Recipients
Specify the recipients of an email message by first selecting Affiliates, Advertisers, or Employees. You may select any combination of these three groups. After selecting one of these, additional options will appear.
Email Affiliates
Send out emails to all of your affiliates, or use optional filters to send emails based on account owners, affiliates in specific country(s), affiliate tiers, those running specific offers, not running specific offers, inactive affiliates, or custom. The custom option allows you to choose any number of affiliates form a complete list of current affiliates. Hover over the Company tab and select Mail Room and check the Affiliates box under the Filters section. If you don't want to send the email to all of your advertisers, under Advertiser Filters, make your selection. Enter the From email and Subject that will appear to each recipient.
Email Advertisers
Send out emails to all of your advertisers, or use the optional filters to send emails based on account owners, advertisers in specific country(s), inactive advertisers, or select each advertiser for a custom email list. Hover over the Company tab and select Mail Room. In the Filters section check the Advertisers box. If you don't want to send the email to all of your advertisers, under Advertiser Filters, make your selection. Enter the From email and Subject that will appear to each recipient.
Email Employees
Send out emails to all of your employees, or use the optional filters to send emails based on account managers, by permission, or select each employee for a custom email list. Hover over the Company tab and select Mail Room. In the Filters section check the Employees box. If you don't want to send the email to all of your employees, under Employee Filters, make your selection. Enter the From email and Subject that will appear to each recipient.
Just like most email clients, fill out the From, Subject, and Message fields in the Message section to create the email message you want to send to users.
Message
You can send an email in a plain text format by simply specifying the text or in HTML format.
The message field allows HTML if you want to send an email in a HTML format, but be sure to include opening and closing HTML tags.
Message Tags
Personalize your emails with template tags. This section serves as an information guide for passing in variables to emails sent by Mail Room. For example, if you wish to generate an email for every affiliate and include their first and last names, begin your email with Dear <firstname> <lastname>, the first and last name will be auto generated and included in the text of the email.
All template tags that can be used in emails are list below:
- <firstname> User's first name
- <lastname> User's last name
- <email> User's e-mail address
- <company> If Advertiser or Affiliate, Company name of account
- <advertiser_id> If Advertiser, ID of account
- <affiliate_id> If Affiliate, ID of account
- <date> Date in "mm-dd-yyyy" format. eg: 07-08-2010
- <date_in_words_short> Date in words. eg: Jul 8, 2010
- <date_in_words_long> Date in words. eg: July 8, 2010
Dynamic Affiliate Tracking Links
You can include dynamic affiliate tracking links in emails you send to affiliates. Simply take and affiliate tracking link and replace the aff_id with <affiliate_id>. Be sure to only send these emails to affiliates only. When the MailRoom processes the email <affiliate_id> will be replaced with the affiliate ID associated with the user receiving the email. Affiliates can then immediately start marketing the offer instead of having to find the offer in their interface and manually generating a tracking link. You can include several dynamic tracking links in an email which is great if you are sending out an email with multiple offers in a newsletter format. Unsubscribe Links
You can include unsubscribe links in the emails you send to affiliates, advertisers and employees by adding the <unsub_email_url> message tag in the email. The unsubscribe message tag, includes the email URL of the user to be removed from the mailing list. The Mailing list Unsubscribe Link is automatically generated for you. You can copy and paste this code to be added in your email from the Mailing List Unsubscribe Link section of the Mail Room.
Opt Out of Email Lists
Users or employees with access can update a user’s settings to opt out of receiving email from email lists. View the user and select "edit" in the Settings section. Select whether the user will receive emails from the Company News and Offer Updates email lists. If the mailing list is enabled the user will receive emails from the email list. To remove the user from the list, disable the list and save.
Enabling Alternative SMTP Server
If you have not already set up a new SMTP server to send email from, you will receive a message at the top of the Mail Room page. Follow the link in this message, application preferences, which will take you to the Domain Settings page. The third option on this page, entitled Email Domain, must be toggled to enabled. This will reveal fields for specifying an alternative SMTP host, port, type, username, and password. The last two fields allow you to designate where emails will appear to be from. Set the name and email address that will appear in the "From" field when users receive emails.
